Before you begin adding scans and documents to Gramps, you should know that Gramps is '''''not''''' a [https://wikipedia.org/wiki/Document_management_system Document Management System]. It does not store your media files (pictures, videos, sounds, and documents <abbr title="et cetera - Latin phrase meaning 'and so on'">etc.</abbr>) Rather, it logs a link (or shortcut) to where the media file is stored on your hard disk or the internet. You have to manage these files with your own organizational system or tools outside of Gramps.
So, begin by deciding which directory (folder) you will use as a central depository collection point to collect store your pictures, videos, sounds, and documents. (You might choose to create a new one.) Then select {{man menu|Edit->Preferences}} on the menu bar and choose the {{man label|General}} tab. Set the value of {{man label|Base path for relative media paths}} to this directory. Click on the {{man label|Close}} button to save your changes. Keep your media documents well structured in this directory. Surely you have a picture of yourself! Decide on a good place in this folder to collect portraits and place a copy of your self-portrait file in there. The primary benefit of collecting all your media objects in a folder is that it is easier to make certain all your reference documents are easily archived and are portable. You don't have to spend hours picking and choosing through all your vacation pictures to find just the genealogy scans.
Now, let us continue with adding one of the documents in this folder as a reference document for a source. Double click (or select and then press {{Man key press|ENTER}}) to open the source 'Interview with John Doe'. Look at the tab pages at headers for the bottom record list of the source editorSource Editor. You should see: Notes, Gallery, DataAttributes, Repositories, References. you want to add Media objects in the Gallery tab of this source.
Click on the {{man label|Gallery}} tab, and then on the little '''Add''' icon in the right of the toolbar just below the Notes tabtabs. This opens a File Selector dialog to where you can select the that image of yourself. At the bottom of this dialog is a box '''Title:''' to set where you can a nice descriptive title ... such as 'Picture of John Doe'. Entering a title does will not change the file name. Make sure you select the 'Convert to a relative path'checkbox. with the correct image selected, Press {{man button|OK}}button. You will now see the ''Media Reference Editor''dialog. The top of this dialog allows to select a region of the picture, <abbr title="exempli gratia - Latin phrase meaning 'for example'">e.g.</abbr> when if you have selected added a group photo, it makes sense to indicate who on which person in the photo is John Doe. You can use the mouse in the preview picture to select the part of the picture of interest (click down is and drag from corner 1 and click release is to corner 2). Click {{man button|OK}} to save remember the image and go back . This should return you to the Source Editor for the 'Interview with John Doe' source editor you were working on.
You can attach more than photos and scans. Suppose you have a fully typed-out transcript of the interview. In that case, you can add the formatted document (<abbr title="OpenDocument Text format's file extension">odt</abbr>, <abbr title="Microsoft Word document format's file extension">doc</abbr>, <abbr title="rich text format's file extension">rtf</abbr>, <abbr title="et cetera - Latin phrase meaning 'and so on'">etc.</abbr>) in the {{man label|Gallery}}, but . But you can might also store the text as a {{man label|Note}} in Gramps. The good thing about using a note Note is that Gramps can search the text of notes with Notes using filters. So, click on the {{man label|Notes}} tab, click the '''Add''' icon, and you are presented with a basic editor that into which you can type or paste text into.
When finished, press {{man button|OK}} on the source editor, and your source 'Interview with John Doe' now has also both a note and a picture.
To see theseagain, you would have to can open the editor againEditor for the 'Interview with John Doe' source. However, Gramps has a bottom pane that can show you information on the selected entry in the source view. For that, activate in the menu '''View''' the '''Bottombar'''. You will see a number of tabs which allow to show information. The elements showing information are called '''Gramplets''' in Gramps. Gramplets are small plugins that can perform all kinds of tasks. You can add one other gramplets to the bottombar by using rightselecting from the pull-click down menu marked with the mouse on {{man button|&or;}} (''Down Arrowhead'' button) at the top right of the bottombar next to the tabs.
